The basic fundamental role in fundraising is to have an active data base of contacts.
If the names and addresses are incomplete, it’s important to have as much contact info
as possible, and to include email address and phone number. With complete names and postal
addresses, phone and email appending can be accomplished.

Robo calling and email broadcasting become the next grassroots outreach level. With my firm,
we have access to several email broadcast platforms that can deploy to opt-in as well as opt-out email
lists. We have several resources and servers that can deploy a message to cleanse out an old email list.

Build your list or lists, update your data and reach out to your base and expand the base. Then start to create
fundraising events and query the data for that specific geography – zip code or city. Contact me for questions

Email Matching

Email matching to a postal file is the freshest way to obtain an individual email match. It’s important
to add an opt out message. Some clients may wish to waive the opt out despite the time involved. Although the file
will be clean when delivered, it won’t have the complaints if the opt out greeting is deployed.

Email Broadcasting to a Non-Opt In List

If you bought an email list, you can still email broadcast to that entire list. Please note however, that before purchasing an email list
that it is important to do the homework and notify your email broadcast platform vendor if they cannot accept a non-opted in email list into their system.
Most email broadcast platforms do not accept email lists imported into their system.

How does one deploy a message to a non-opt in list?

1) Ask your email list supplier if they will cleanse the email list for you. There’s a charge to do this, but at least, your final message is deployed
in that vendor’s server and not yours.
2) There are few select vendors who can send an email broadcast message, and I know who they are. They will do it on a one time only basis to cleanse the list, and if one time,
well, there’s a service charge to do this. If you can offer to be a regular subscriber and send to this audience on a regular basis, it would lessen the overall pricing.
3) Once your purchased email list has been cleansed, through three email outgoing email broadcast messages, your deliverability will eventually be at 100%, your unsubscribe
email addresses will be removed, you’re sending only to good email addresses (eliminating the permanent and transient bounces), and then you might be able to
import them into another possible opted-in email server, if you have such an original provider.

What does it take to obtain a great open rate?

There are many factors but here are the primary main factors:

1) Send your message on a Tuesday through Thursday
2) If you do not need to send your message to the entire email list in your universe then don’t do it.
If you have email segments created for specific cities, zip codes, counties or geographies, deploy the approved message
to the community that is most affected by the message. If that specific message does not apply in other parts of the region
then simply don’t send it to “all” emails.
3) Put the geography of the location impacted by your message in the subject line.
4) If geography is not a factor, then put a specific date of an upcoming event in the subject line to demonstrate timeliness.
5) If you have a large email list above 50K records, consider conducting A/B sample testing, look at results prior to deploying to the rest of the emails in your
account.
6) Write simple succinct messages as everyone’s time is valuable.

Email Broadcasting

Email broadcasting is an efficient way to inform your audience about what your organization is doing. Provide as much intelligence and update your events and activities. Explain to your donors what they get in return for their investment. With more information, the return of the investment will be greater.

Create specific messages for specific email lists. Use a different messages which are personalized and tailored specifically for each specific audience. You’ll get a better open rate when you talk to people about issues they care about. It’s not always necessary to send one generic email to your entire audience; you can continue to do this infrequently. In some cases it will work, but in other cases, certain messages should be delivered to specific audiences – geographic, or if they are of a specific constituency (i.e., talk about veterans issues to veterans).

The more one can communicate regularly, the better your future dialogues will become. Most important, it is possible to email to your opt out email audience as well as your opt in email list.
You can use one platform or two platforms for those audiences – send a message to the opt out group less frequently to drive them to opt in. It’s that easy and it works.

Data Hygiene is Universal

Non-profits, corporations, associations and campaigns share the common trait of needing
data appended. Files need refreshing and grow old over time – at an especially rapid rate
if in an urban setting.

Taking postal data and appending it, along with National Change of Address is one of the simplest
ways to refresh and update contacts to ongoing activities of your organization.

The trick is finding someone who can work with low minimums, unique circumstances or
special instructions.

Time To Update Data and Lists

Appending Email Records for Non Profits

Non profit organizations have lists or a data base with records that periodically need updating. The way to update data is through appending the minimum number of fields – name and address.

For email appending, names and postal address can get matched to email address with a two week turn around time. Once the emails are matched, an opt out greeting is deployed. The non profit is provided a list of clean emails, and a separate list of unsubscribes.

The minimum can be low, which makes my firm special by comparison to other competitors. It’s important to utilize an email broadcast platform that allows for a purchased email list to be imported into it – beyond an opted in email list. Updating an email list allows the non profit organization to mention an upcoming fundraiser, provide the donation link, ask for specific in-kind donations, or request volunteers to donate their time.

Voter ID and Turnout

Thoughts and prayers go to the victims and those suffering from basic essentials during the ravaging storm of Hurricane Sandy. For those who can rebuilt, it can only get better, although it may seem painful and devastating.

As we look toward this upcoming week, the nonpartisan Election Protection coalition was formed to ensure that voters have an equal opportunity to participate in the political process. Call the hotlines: 1-866-OUR-VOTE, administered by the Lawyers’ Committee for Civil Rights Under Law, 1-888-Ve-Y-Vota, administered by the National Association of Latino Elected and Appointed Officials Education Fund, or the 866OurVote.org website. This year’s coalition will be the largest voter protection and education effort in the nation’s history. Over 10K volunteers will be gathering data into OurVoteLive.org, developed by the Electronic Frontier Foundation, an interactive environment painting the most comprehensive picture of election irregularities from the perspective of the voter available anywhere. In the spirit of Halloween, a campaign wanted to obtain direct mail addresses to US mail their printed brochures in targeted areas last week. It was a littie weird; however, better late than never… Best of luck if you have not voted on Nov. 6 and thank you to those who already voted absentee to skip the lines.
